Independent Contractor or W2 Employee (depending on the country where you reside)

Location This is a fully remote position. Independent contractors will be employed via Upwork. The

Company will assist the contractor with the sign up process for Upwork

Working Hours This is a full time, hourly position, and the individual must be available during U.S.

business hours, Mon-Fri. Weekends are not required. Billable hours will fluctuate

between 30-40 hours per week. **Note that during your first 1-2 weeks of training your

billable hours may be less than 30 hours per week (approximately 25 hours first week).

Home Office Requirements

• All individuals must have a quiet and undisturbed work environment.

• W2 employees will be provided with a laptop and headset.

• Independent Contractors are required to provide their own hardware and high speed

internet.

• Hardware needs include: Well functioning computer with minimum of 8GB RAM and

noise canceling headset. External monitor recommended. You may not use a tablet for

this job.

*Note that the Company will provide all necessary work software

Summary of Administrative Assistant Role

The Administrative Assistant position is an entry level position, responsible for providing detailed clerical

support for our team of Medicaid Specialists. This position will report to the Administrative Manager.

The Administrative Assistant will efficiently complete assigned clerical tasks related to the project

management of clients who purchase our Medicaid planning service. This includes being present throughout

the entire process -- from onboarding to offboarding clients. This position requires above average computer

proficiency and extreme attention to detail. **Performance and compensation will be reviewed at 90

days, and thereafter annually.

Primary Responsibilities:

➢ Assist the Medicaid Specialist with tasks related to the client’s Medicaid application

➢ Download and organize client documents using Google Drive for Desktop (pdf’s, jpg’s, etc.)

➢ Fill out application forms using provided PDF editor (Adobe Acrobat)

➢ Securely send documents to clients using provided secure email software

➢ Send and receive documents electronically using online faxing software

➢ Communicate with clients by email and VOIP (online) phone system

➢ Communicate with Medicaid agencies by phone or email to check on application status

➢ Schedule meetings using Google Calendar or the Calendly online scheduling software

➢ Take meeting notes during client calls and enter notes into our client database (Insightly)

➢ Assist in assembling “requests for information” using PDF software and Google Docs

➢ Use Google Doc and Insightly email templates to send information to clients

➢ “Snail mail” documents to agencies using our online mailing service

➢ Send feedback / satisfaction survey to the completed clients

➢ Archive outdated client files

➢ Follow company security policies to comply with data security protocols

➢ Attend weekly team meetings via Google Meet

➢ May provide other administrative tasks as needed
